Decide how you capture most
Typing, voice memos, scanned documents, handwriting and web clips each favour different apps. Voice-heavy users should look at AudioPen, Otter.ai or Apple Notes, while people who save lots of PDFs and web pages will get more from Evernote or OneNote.
Separate capture from organisation
Some tools are places to store and connect notes for years (Notion, Capacities, Mem), while others are quick inboxes (Google Keep, AudioPen). Pick one main home for your notes and, if needed, a lightweight capture tool that feeds into it.
Check which AI features are on the free plan
Free tiers often exclude AI entirely or cap it tightly. Evernote's free plan has no AI, Mem's allows 25 AI messages, and OneNote's Copilot needs a paid Microsoft plan. Try the AI on your own notes before you upgrade.
Match the app to your devices
Apple Notes is effectively limited to Apple devices, Reflect has no Android app and Google Keep's Gemini list feature is Android-only. Check that every phone and computer you use is supported, and that the AI feature you want works on each of them.
